The Website, www.ballindhu.co.uk, is regularly reviewed to ensure GDPR compliance, and updated as required.
We do not collect any Personal Information from visitors to our Website other than information that is knowingly and voluntarily given. Visitors interested in requesting more information about our accommodation can provide contact details via an online enquiry form. Visitors cannot be contacted unless such information is given.
Personal Information
We may collect personal details from you when you visit our Website such as, but not limited to, your name, email address, accommodation details and telephone numbers.
If you proceed to make a booking, we will also need to collect the postal address of the lead guest and names for all guests over 16 years.
We may also collect Personal Information directly from you when you speak to us over the telephone or send us email correspondence or submit a review of our accommodation services. Billing/banking details may be collected during email correspondence, as necessary.
Non-Personal Information
Our Website uses ‘cookies’ (small files saved in your browser) in order to collect information on how you and other internet users engage with the Website, in order to improve the Website and our services to you. Cookies provide anonymous usage statistics about your visit and do not identify you by name. Instead they identify your IP address and allow us to track your visits and usage of our Website.

It is possible to book our accommodation using Online Travel Agents (OTAs), such as AirBnB. In this case, the OTA is responsible for the security of your data and you should consult their specific Data Protection Policies.
CCTV
Ballin Dhu has a separate CCTV Policy to protect guests’ privacy. A copy is available in the lodge, or on request.
Key points are,
- Single motion-activated security camera and floodlight installed externally by front door to the lodge
- No cameras in private areas/indoors
- Audio recording is disabled
- CCTV sign displayed by camera
- Registered with Information Commissioner’s Office (ICO). Registration Reference ZC127492
- Data Protection Impact Assessment conducted
- Guests can disable the camera from recording
USE OF PERSONAL INFORMATION
Generally, we use your Personal Information for the sole purpose of delivering our services to you, completing bookings on your behalf, and to ensure that we can efficiently manage and track your booking. Specific uses are,
- To know who will be staying in our property and for how long
- To adhere to Legal, Regulatory, Safety, Licensing and Business obligations
- To contact you if necessary
- To enable us to investigate any complaints or other enquiries that you raise
Your bank account details are only used to process return of your refundable damage deposit and any other refunds due. Your account details are NOT stored or used in any other way by us, and are deleted as soon as payments are made.
The Personal Information we collect is not shared with third parties except where this is necessary to process and complete your bookings or payments, to fulfil our contractual obligations to you, or to allow the relevant third parties to fulfil their obligations to you in providing the services that you requested. Such third parties may include, without limitation,
Booking Partners
Any Online Travel Agency, regional and local tourism organisations, a bank or a payment processor (for the processing of payments).
Suppliers
Promote My Place (who host our booking calendar and our Website), or any other contracted supplier.
Authorities
Competent authority that may legally require us to share your Personal Information (e.g. police, customs, tax or Licensing Authorities).
Although this Data Protection Policy applies to Personal Information about you that may have been shared with third parties as described above, or provided to us by third parties, we are not responsible for the privacy policies of those third parties, and we will not be liable for those third parties’ data protection policies and practices.
INFORMATION RETENTION TIMES
We retain Personal Information during your stay and for a limited time after you’ve checked out. We are required to retain information in accordance with the law, such as information needed for income tax and audit purposes. To the extent when we have a legal obligation to hold your Personal Information – for example the legal requirement to hold invoice information for multiple accounting years, or the legal requirement to provide guest registration information to the Local Authorities – the minimum information required, including Personal Information, shall be passed to the relevant Authorities and held only as long as the legal obligation persists.

Any cookie data collected by Google Analytics is retained for a maximum period of 26 months.

You have the right to request a copy of the Personal Information we hold about you, and you have the right to request that your Personal Information be rectified, transferred elsewhere, and/or deleted from our systems. Where applicable if, under the terms of this Data Protection and Privacy Policy, we have passed or need to pass your Personal Information to a third party (Booking Partners, Suppliers, Authorities) you may need to direct any data protection complaints and queries to these third parties also.
